Apple Notes Not Syncing Between Mac and iPhone: iCloud, On My Mac and Account Checks

When Apple Notes does not sync between a Mac and an iPhone, the first thing to check is where the missing note is actually stored. Notes in an iCloud folder can synchronize between devices signed in to the same Apple Account with Notes enabled. Notes stored under On My Mac or in a separate Gmail or other account may not appear in the same place on an iPhone.

That makes the problem different from a simple Internet outage. Restarting devices repeatedly will not put a local-only note into iCloud, and signing out of accounts can complicate recovery if some notes exist only on one device.

Find the missing note’s account before changing any settings

  1. Open Notes on the Mac and show the sidebar if it is hidden.
  2. Look for sections such as iCloud, On My Mac and third-party mail accounts.
  3. Select the folder containing the missing note and identify its account.
  4. On the iPhone, open Notes and return to the top-level Folders list.
  5. Compare the account sections. A note in a local Mac folder will not necessarily exist on the iPhone.

Do not move or delete the only surviving copy while investigating. For important notes, preserve a copy or an appropriate export before making account changes.

What different symptoms usually mean

Symptom First check What not to assume
One note never appears on iPhone Whether it is in On My Mac That the whole iCloud account is broken
All iCloud notes are missing on one device Apple Account and Notes sync setting That notes have been deleted
Notes appear on iCloud.com but not Mac Mac sign-in, sync settings and connectivity That the web copy is also missing
Only attachments or edits lag Connection, pending changes and storage That creating duplicate notes is the solution
Only Gmail-based notes are missing Whether Notes is enabled for that mail account That iCloud controls third-party Notes folders

Confirm iCloud Notes is enabled on both devices

On a current iPhone, open Settings, select your name, go to iCloud and find Notes in the apps using iCloud. The precise labels vary by iOS version, but the relevant switch is Sync this iPhone. On a Mac running macOS 15 or later, open System Settings, select your name, choose iCloud and then Notes; confirm Sync this Mac is enabled.

Both devices must use the intended Apple Account. Apple’s official guidance also recommends checking the iCloud folder in Notes rather than assuming every folder is synchronized automatically.

Use iCloud.com as a diagnostic checkpoint

Sign in to iCloud Notes on the web using the expected Apple Account. If a note exists there but not on the Mac, the cloud copy is available and the issue is likely in the Mac’s sync path, account setup or local client state. If it exists only under On My Mac, the web version will not show it until the note is deliberately moved to an iCloud location.

For wider storage stalls affecting many kinds of files, see the guide to iCloud Drive stuck uploading or syncing on Mac. However, Notes and iCloud Drive are different services; a healthy Drive folder is not proof that every Notes account is configured correctly.

Move a local note carefully

If your goal is to make a Mac-only note available on the iPhone, first confirm iCloud Notes is active and the destination folder exists. Then use Notes’ supported move operation to place the note in the intended iCloud folder. Check that the note appears on iCloud.com and on the other device before deleting any backup copy.

For notes containing important attachments, long lists or embedded scans, verify the entire contents after moving. Avoid rapid repeated edits on two devices while one still has pending sync changes.

What about notes stored in Gmail or another email account?

Some accounts provide their own Notes folders. Whether they synchronize depends on the provider and how the account is configured on each device. A note created under a Gmail section is not automatically an iCloud note. If account settings are unclear, check them separately rather than toggling unrelated iCloud options. The principle is similar to checking which account owns messages when Apple Mail is not syncing on Mac.

When sync appears stuck after confirming the account

  • Check that both devices have working Internet access and correct date and time.
  • Check Apple’s system status if there may be a service disruption.
  • Ensure available iCloud storage and device storage are not exhausted.
  • Update supported system software after backing up important data.
  • Test with a new harmless note in a clearly identified iCloud folder and allow time for the change to appear.
  • If sign-in prompts keep recurring, investigate the account issue described in repeated Apple Account password prompts on Mac.

Cross-device copy and paste uses another Continuity feature entirely. If the complaint is that text cannot be pasted between devices while Notes itself syncs, consult the Universal Clipboard troubleshooting guide instead.

Frequently asked questions

Do notes under On My Mac sync to iPhone?

No. Those are local notes. Move the information into a supported synchronized account if you want it to appear elsewhere.

Should I sign out of iCloud to fix Notes?

Not as a first step. First establish where the only valid copy exists and confirm sync settings. Signing out or removing accounts without a backup can complicate recovery.

Why does one folder sync but another not?

The folders may belong to different accounts. Check the sidebar headings and the actual account associated with each note.

Does iCloud.com prove whether a note is in the cloud?

It is a useful checkpoint for iCloud notes associated with the signed-in Apple Account, but it does not display local-only notes or every third-party provider’s notes.
